For Hassle-Free Foreign Travel Follow These Steps:
1. Get Authorization
- Foreign Travel: You must use Gelco to create your authorization*
- You must provide "Foreign Travel Information for Travel Manager" in the Itinerary screen of the authorization. This information is required to obtain DOE Approval. Click HERE for details. (.doc)
- Once your request is submitted, you can move on to Step #2 and book your travel
2. Book Your Travel (Air—Car—Hotel)
- Create a Travel Profile (if you haven't done so already)
- Online: Use TravelPOWER-Cliqbook (preferred method)
- By Phone: Use this method to contract our travel agency, Carlson Wagonlit
3. DOE Approval
- Once your authorization has been approved by your division, your request is sent to DOE for approval
- DOE will email the traveler the trip approval (you may not travel without this approval)
4. Go on Your Trip
5. Submit Voucher and Original Receipts for Reimbursement
- Use Gelco
*Travel Authorization Advance Notice
The Travel Office must receive the advance notice at least ten (10) days prior to the below requirements:
- The Office of Science requires a 21-day submission; 30-day submission for travel to a sensitive country
- Travel under non-DOE Funds requires a 21-day submission; a 30-day submission is required for travel to a sensitive country
- The Office of Energy Efficiency and Renewable Energy requires a 30-day submission; a 45-day submission is required for travel under the EERE Office of Weatherization and Intergovernmental Programs
- The Office of Fossil Energy requires a 45-day submission for all travel
- The Office of NNSA (including IPP/Yucca Mt.) requires a 30-day submission for all travel
- The Office of Radioactive Waste Management requires a 30-day submission for all travel
Note: Travel to Taiwan requires a 45-day submission regardless of funding.
